We are requesting an enhancement to the current Change Orders module to better support how single-family construction options are managed.
Current Process
Today, the Change Orders module is used to enter contract changes for each home individually. In single-family construction, many of these changes are actually standardized options that are priced upfront when the contract is established.
For example, we may price an upgraded faucet option for a specific plan or community. Once that pricing is approved, the builder will later issue a PO for that option on individual homes as they are released.
The issue is that each time a home takes that option, we must manually re-enter the same change order information again and again. This includes items such as:
-Option description
-Contract amount
-Budget amount
-Cost codes
-Related pricing details
This creates repetitive data entry, increases the chance of inconsistency or error, and takes unnecessary administrative time.
Proposed Enhancement
Create an additional table or library within the system that stores standard change order information as reusable records.
This table would act as a master change order database where we enter the option details one time. Then, when a specific house takes that option, the user can select or call up that option record and have the related information automatically populate into the change order entry.
How It Would Work
1. A standard change order is created once in the new table/library.
2. The change order record stores all relevant information, such as:
-Option name/description
-Applicable plan, builder, or community
-Contract amount
-Budget amount
-Cost code assignment
-Any standard notes or references
3. When a PO is received for a house, the user selects the Reusable Change Order from the library.
4. The system loads the saved information into the job/house-specific change order record.
5. The user only needs to confirm or adjust any job/house-specific details if needed.
Benefits
This enhancement would provide several advantages:
-Eliminates repeated manual entry of the same option information
-Improves consistency in pricing and budgeting
-Reduces administrative time
-Minimizes data entry errors
-Speeds up change order processing
-Creates a more scalable process for high-volume option activity in single-family construction
Business Need
In our workflow, options are not truly one-off change orders. They are standardized items that are repeatedly applied across many homes that live in one job. The current process forces users to recreate the same records multiple times, even though the underlying information does not change. A reusable change order table would make the process much more efficient and better align the software with real-world single-family construction operations.
Requested Outcome
We would like the system to support a master change order table / reusable change order template function that integrates with the Change Orders module, allowing standardized change orders to be entered once and reused whenever a house/Lot/Unit takes that option.
