My fiscal year does not end on 12/31 but I am forced to archive my payroll on 12/31. I am never ready to run my W2's on 12/31 and if I need information relating to a job I am constantly going back and forth to get the information I need, because I can no longer click on a line in a report, I have to go to the archive payroll run a report or look up the specific information and then save my report in an excel format and then add the information that is needed. Computers are suppose to make our jobs easier not harder.

  • You have to archive payroll because that is what resets the wages and maximums back to zero. You have complete access to the archive from which you will run your W2s.

Since you weren't specific in the type of information you are having to go back to get, it is hard for me to recommend any solutions. But you can have both the current year and payroll archive open and run the same report. Drill down inside the payroll archive and copy that info.

If this is a consistent issue, then I would look at your data entry processes and see if you can't be more pro-active on getting the info needed for those job reports.

  • I meant to type year to date wages and maximums to be more clear

  • The information that I am trying to have without going back and forth from the archived payroll is with the job reports. Sometimes when we are looking at costs for a job I need to drill through to the payroll record. I can not do this all the time when the payroll has been archived.
