It would be very useful to have AP vendor refund functionality so that it would be possible to see when an amount had been refunded by the vendor - this is not the case of a reversed check which I know is shown, this is where a duplicate payment has been made to a vendor and the vendor has sent the money back. This is what clients want to be able to see.

  • I agree. We deposit the check but the information on the vendor account shows that we paid it. There is no way to see that the money was returned.

  • I can remember people complaining about this from version 1.0A, and I still don't understand why it's not there.

  • It is especially helpful when a vendor has issued a refund to you in the form of a credit card payment. No matter what you do, you can't process the CC refund and you don't want to leave it open on the vendor's account because you have been refunded. Consequently, to clean up, you have to process two transactions. One to show the refund onto your CC & the 2nd to write off the credit note.

  • Agreed this would be a very useful feature - I get client requests for this every few months.
    Also would provide obvious symmetry with the AR refund function.

  • This is a very useful feature for insurance premiums of salaries. When the adjustment is made at the end of the year, there will be an additional payment or refund and having the details on the same file is important.
    Also betting agents often make payments for monies collected from gamblers, but when there is a big win, the transaction is a refund.

  • It must be really hard to do or it would have already been done. It is probably one of the top support questions we get from all clients. As it rearly happens within the client they forget how to do it and then call again. Very frustrating.

  • A huge problem in the Education, Hospitality, Entertainment and Events industries. Thaey always have booking with a vendor that are changed or cancelled and they need to process that refund from the Vendor and update the bank with the refund.
    Currrently it has to be a 3 entry process. Very frustrating.

  • Vendor refunds in AP module? Why isn't this available?
    You either have to do a BANK ENTRY - which has NO traceability via the vendor# or you have to create the VENDOR as a CUSTOMER in AR, create an invoice, post, then create a Receipt batch list...then you have to remember that you created the vendor as a customer to search any transactions - this also effects revenue?

    To do any form of history search on a vendor for payments/refunds, you have to go through 3 separate modules (AR,AP & Bank Services) asking for 3 separate reports - that is not efficient.

    There should be a "vendor refund". (i.e. you've received a physical cheque from vendor and need to deposit into your bank account) NOT APPLYING TO A DOCUMENT - as some vendors do auto withdraws ie utility companies.

    All that is required is: you enter the vendor #, amt refunded, the date and GL to apply- it should debit the bank and credit the GL you assign - that's it. This way you can actually trace ALL transactions in one area per Vendor

    Go one step further and you can have "Anticipated Vendor Refunds" that allow you to enter information for refunds you have requested, but have not received. This would be a good way to track short shipments, returns and any other credits your waiting.

  • Although it should not happen, duplicate payments can occur. To err is human. It is misleading to not be able to see all the payment information (outflows and inflows) under the vendor activity.

  • This is very necessary. Sometimes a vendor is getting a commission from a sale. If the sale is reduced the vendor needs to pay back the credit.
