The way MAS handles memos, from setting them up, to using them, is very cumbersome, darn confusing and not user friendly nor efficient.

There is an old accounting / order entry program called MCBA that had a great memo feature back in the day - sure do wish MAS could emulate this. You could enter memos either from a memo manager screen or on the fly from any data entry screen and then use check boxes to decide where you wanted the memo to show and / or print. So, a single memo could flow all the way from SO entry thru to invoice history enquiry, it could print (or not) on any documents generated, and all of this could be setup from just one screen. Slick!

C'mon Sage.....PLEASE.....pay attention to this!

  • I think it would be helpful to them if you were very specific about what is working OK and what is not.

Currently, it does allow you to enter memos on the fly from appropriate data entry screens and they do flow from entry to history. Printing is complicated by the fact that any give entity (Customer, Invoice, etc) can have mulitiple memos. It is easy enough to link the memo file to a form work file and add a parameter to select a specific Memo code.

  • Why are there options for when memo's should autodisplay but this doesn't work? Receipt of goods is a good example. We rolled a whole initiative out when this option became available only to have it not work. Please, please fix and deliver on options already in system. Thank you!

  • It would be helpful if when entering a memo, the memo could print on the sales order, picking sheet, and invoice. We have many memos popping up during data entry and data entry person must copy and paste onto order. Many time memos are ignored.

  • It would be great if you set a reminder on a memo if it would pop up with out having to go to that customer. Right now you have to go to the customers account for the reminder to popup. If I remembered to go to the account I wouldn't need the reminder.

  • Memos can be set up to print on sales orders. You have to set up the form code correctly though.

  • We use these pop ups a lot during sales order entry and invoicing. However, the new version we have pops them up any time that customer's account is pulled up, even in A/R where it isn't needed. Is there a way to make it specific where it pops up?

  • I've been using the memo manager for AR and AP. It's great when you need some general information about the customer/vendor to specify when you want it to pop-up. The downfall is....I set some vendors up with memo managers to pop-up in AP entry. The reasoning was that if some vendors do not put invoice numbers on their bill OR MAS doesn't fit all the characters the pop-up in AP entry would provide instruction for AP invoice data entry. For instance "Invoice format MMDDYY" or "Invoice format skip alpha characters and enter numeric only". Unfortunately, you go into Invoice data entry, enter the vendor #, and the pop-up doesn't appear until AFTER you enter the invoice number. What good is the pop-up then? The pop-up should appear as soon as you enter the vendor # in AP invoice data entry. Please fix this!!
Or at least activate the memo manager icon so we can click on it in Ap invoice data entry.

  • @Sheila S. go to Customer maintenance, click on the memo manager, select the memo, click settings, deselect the boxes where you don't want the memo to appear (customer inquiry?), check the boxes where you do want it to appear (SO entry, Invoice data entry?)...It's the same for Vendor/AP module.

  • The same would apply to comment lines - you should be able to pick where you want comment lines to show or print. Sometimes you enter comments on Sales Orders or Purchase Orders for INTERNAL purposes and you would never want the customer or vendor to see these on any documentation you send to them. Again, MCBA used to have a feature for each comment line you entered on an SO or PO that allowed you to choose whether to print/not print or show/not show any comment line on any order or purchase order.

  • I agree that it would be nice when you create a memo, you could select where you would like the memo to pop. Example: I create a memo related to cash receipts for a particular customer, this memo only needs to pop up in my case in customer maintenance or cash receipts, it doesn't need to pop on Sales order entry or invoice entry.

Pam: in regards to your print issue with comments, you can do this. Create a custom comment code \c01 and in your various forms don't have this comment code print.

  • Ditto all of the above... I was looking today to add a comment that is customer specific that I would like to print on the sales order, packing list and maybe the invoice. Shocked this was not an options! Casting a VOTE for this entry!

  • There is another idea with some specific suggestions re these memos: https://www5.v1ideas.com/TheSageGroupplc/Sage100ERP/Idea/Detail/15385.
